Temporary Recruiting Assistance

$13.33 per hour


Nature of Work: Under the supervision of the Recruiting Supervisor, the Recruiting Assistant is responsible for providing assistance in executing the daily administrative operations for recruitment activities. The main functions of the Recruiting Assistant will be supporting the recruiting team with processing new hires, maintaining recruitment files (job files, I9, and personnel files), coordinating interview schedules, and participating in pre-employment meetings.


  • Conducts new hire meetings with temporary employees to collect all necessary new hire paperwork
  • Organizes employee payroll documentation, ensures that all information within the documentation is correct, and provides documentation to Payroll
  • Manages job boards (usernames/passwords), posting positions through our Applicant Tracking System and external job boards when requested
  • Coordinates interviews: creates interview packets, confirmation calls/emails, and answers applicant inquiries
  • Administers pre-employment testing, drug screens, and background checks
  • Participates at career fairs and on campus hiring events when needed
  • Follows-up with new employees after their first day to ensure all details have been arranged for successful onboarding
  • Creates and maintains personnel, I9, and job files for regular and temporary employees
  • Assists in maintaining candidate dispositions in the Applicant Tracking System
  • Responsible for understanding and complying with all policies, procedures, and regulations related to job duties
  • Provides additional assistance for recruiting and HR team activities when needed
  • Performs other related duties as assigned

Required Qualifications:

  • High School Diploma or G.E.D Equivalent
  • Experience as a Recruiting Coordinator or Administrative Assistant
  • Proficient in computer programs, such as; Word, Excel, Outlook, Applicant Tracking System, HR Information System
  • Excellent interpersonal, written, and verbal communication skills
  • Demonstrate a high level of attention to detail
  • Demonstrate problem-solving skills and organizational skills
  • Able to maintain the highest level of confidentiality
  • Ability to work well with others in a small office setting and with the general public
  • Ability to work as part of a team with minimal supervision
  • Ability to work under pressure in a fast paced environment
