Recruiting Assistant

Starting Hourly Rate: $15.60

What You'll Do

Under the supervision of the Recruiting Supervisor, the Recruitment Assistant is responsible for providing assistance in executing the daily administrative operations for recruitment activities. The main functions of the Recruiting Assistant will be supporting the recruiting team with processing new hires, maintaining recruiting files (job files, I9, and personnel files), coordinating interview schedules, and participating in pre-employment meetings.

This position offers flexible hours and works ten months out of the year. 

Responsibilities

  • Conducts new hire meetings with temporary employees to collect all necessary new hire paperwork
  • Processes regular and temporary new hires in our HRIS, which includes confidential personnel, job and tax information. This task requires a high level of attention to detail to process transactions without errors
  • Organizes employee payroll documentation to provide to the Payroll department and ensures that all information within the documentation is correct
  • Manages Job Boards (user names/passwords), posting positions through our Applicant Tracking System and external job boards when requested
  • Coordinates interviews: creates interview packets, confirmation calls/emails, and answers applicant inquiries
  • Administers pre-employment testing, drug screens and background checks
  • Participates at career fairs and on campus hiring events when needed
  • Follows-up with new employees after their first day to ensure all details have been arranged for successful onboarding
  • Creates and maintains personnel, I9 and job files for regular and temporary employees
  • Assists in maintaining candidates dispositions in the Applicant Tracking System
  • Responsible for understanding and complying with all policies, procedures, and regulations related to job duties
  • Provides additional assistance for recruiting and HR team activities when needed
  • Performs other related duties as assigned

Requirements

  • Bachelor's degree in human resources or related field
  • 1+ years of experience as a Recruiting Coordinator or Administrative Assistant in an HR environment
  • Proficient in computer programs, such as; Word, Excel, Office and Applicant Tracking System, HR Information System
  • Excellent interpersonal, written, and verbal communication skills
  • Demonstrate a high level of attention to detail
  • Demonstrate problem-solving skills, organizational skills and attention to detail
  • Able to maintain the highest level of confidentiality
  • Ability to work well with others in a small office setting and with the general public
  • Ability to work as part of a team with minimal supervision
  • Ability to work under pressure in a fast paced environment
