Management Assistant ~ City of Ann Arbor Police Department

We are looking for a dynamic, no-nonsense Management Assistant for the Police Department located in Downtown Ann Arbor. You will be responsible for the completion of highly confidential and complex administrative tasks for the Police Department.

In this role you will:

  • Create and maintain policies, procedures and record management systems, and document updates.
  • Provide back up for processing Accounts Payable for the Police Department
  • Research, compile and analyze data for projects and reports that support the decisions of the Police Department Administration.
  • Provide assistance to the public, City personnel, business owners/representatives, and vendors in person and over the telephone.
  • Maintain and update schedules as necessary
  • Maintain and update the Police Department website and social media sites.
  • Maintain confidential employee information and confidential collective bargaining records according to contractual agreements, City policy, and legal requirements.
  • Provide general administrative support for members of the police executive staff.

  • Maintain confidentiality of information and restrict use of such information to work duties.
  • Establish and maintain good working relationships with Police Department members, City personnel, officials, the general public, and representatives of other jurisdictions.
  • Demonstrate tactful and positive communication with the City officials, City employees, other agencies, and the public
  • Display analytical thinking abilities, problem-solving techniques, and attention to detail.
  • Demonstrate excellent organizational and planning methods and techniques.
  • Demonstrate excellent customer service and relationship management techniques.
  • Make logical decisions, exercising appropriate judgment at all times.
  • Prioritize tasks and set Administrative office priorities to meet critical deadlines; capable of adapting to frequent shifts of tasks and priority assignments.
  • Record accurate minutes of meetings, transcribe dictation and demonstrate advanced knowledge of English grammar, composition and spelling.
  • Demonstrate advanced use and understanding of office information technology; capable of attaining functional usage of specialized City and Police software via training manuals or minimal training.
  • Advanced operation of personal computer and Microsoft Office (Word, Excel, Access, PowerPoint, Publisher, and Outlook)

Equipment:

  • Computer and software applications, multi-line phone, all-in-one unit (print, copy, fax, etc.), transcription equipment, and other miscellaneous office equipment. 

Requirements:

  • Bachelor's Degree in Business Administration, Public Administration, or a related field required.

 

  • Experience in general office practices and procedures: at least 2 years
  • Experience in coordinating work activities: at least 2 years
  • Experience with timekeeping software.
  • Experience working in a unionized environment preferred.
  • Experience working in a municipal government preferred.
  • Excellent customer services skills, both verbal and written.
  • Excellent attention to detail in a fast-paced environment.
